I have made up some spreadsheets that go by subject area, I can put my whole curriculum on one page, I then just date and initial in a box when I cover something. I also made it to where there are three boxes for each subject, since sometimes it takes a few times.

It also has boxes for recording any endorsements or TSA info.


Each student has one page in a binder that has them all alphabetically

I do the same- a spread sheet for each day of flying with maneuvers. I have one for primary, instrument, commercial, aerobatics. I keep them in a 1/2" binder that I keep for each student- also has personal info (contact info, copies of medical/certificates, etc), quizzes (pre-solo, stage exams, other quizzes from on line such as from the AOPA ASF site), and certificates from places such as the FAA Safety site or the AOPA ASF site.
I also send a debrief after each flight via email that covers post flight discussion information and may contain links to websites. I print this and put it in the folder with the lesson sheet so we can reference it prior to the next flight; it also helps if I have another CFI fly with a student as they can see where that pilot needs work.

Those are both excellent procedures.

You might also look at what 141 schools do. Typically they have preprinted Cessna or Jeppesen or some other training records.

We are 141, so we have the standard paper work to fill out.
At the end of every flight I have my student look over the record and have him initial it, saying we did actually do all that was checked.
If you are 61, I would suggest doing that too.

I don't know how many times I've sent a student for a STG check or given a STG Check and I heard, "My instructor never went over that."
"Well it says here"

I am sure if the FAA ever gets involved after an accident you can bet there will be a big angry, "MY INSTRUCTOR NEVER TOLD ME..."

My school uses Paperless 141 which is just like the paper grade folders except on the computer. P141 also has the student and instructor sign the lesson at the end. I also fill out the log book of the student with just about everything about the flight. Yes it may take an extra line or two, but the time it takes to fill it out could be a career saver for both the student and the CFI.

I received a couple of requests for the form. Because it was intended to be set up as a 2-part NCR, I didn't simply give it away and originally planned to "sell" it in hardcopy packages - already NCR. It's been long enough that I'm no longer interested in doing that.
