PACCAR Seattle, Washington:
The Aviation Department Scheduler is part of the PACCAR Aviation Department that consists of three corporate jets with operations based out of Seattle, WA and Denton, TX and serving locations throughout the U.S., Canada, and Mexico. The department consists of pilots, mechanics and the Aviation Department Scheduler who’s primary objective is to support a safe and efficient operational environment while supporting all PACCAR aviation needs. The Aviation Department Scheduler functions as a liaison between the flight department, pilot-in-command, and others as required prior to and during a flight. The position is based in Seattle, WA.

Job Functions / Responsibilities:

  • Schedule executive travel on company aircraft
  • Monitor executive arrival at flight base
  • Monitor the progress of each flight during normal office hours
  • Remain abreast of weather conditions and associated rescheduling needs
  • Coordinate schedules with Corporate key personnel
  • Keep appropriate company personnel advised of flight progress as required
  • Schedule flight crew to ensure compliance with company and FAA regulations regarding currency and flight/duty time limitations
  • Utilize computer software for flight dispatch and logistics support
  • Maintain Flight and Duty records for all pilots utilizing the PFM software
  • Perform general receptionist responsibilities at the hangar during normal business hours
  • Retain records of each flight for a period of twelve months
  • Be familiar with the Emergency Procedures Manual
  • Know company aircraft performance and the flight operations manual limitations to make appropriate recommendations to traveling executives
  • Maintain and update aircraft and crew schedules
  • Obtain any necessary flight crew permits or visas for foreign countries
  • Maintain department records to ensure accurate reporting of aircrew currency and accounting data
  • Coordinate with outside aircraft service handlers as needed
  • Prepare trip packets for each flight
  • Coordinate aircraft handling and fueling with fixed base operators
  • Negotiate discounts with fuel providers
  • Coordinate use of charter or fractional share services to meet company requirements
  • Ensure aircraft itineraries comply with any airport or airspace restrictions
  • Maintain a flight following system
  • Coordinate scheduled and unscheduled aircraft maintenance with the maintenance department manager
  • Advise flight crews of passenger special needs or requirements
  • Schedule ground transportation and accommodations for flight crew
  • Arrange catering in accordance with company and passenger requirements
  • Remain current on available resources and training to facilitate an effective scheduling operation
  • Ability to work evenings, weekends and holidays) in situations of unexpected scheduling events such as weather or maintenance issues
