Just wondering what software you're using for quoting your 135 customers?

I think here, we have something that IT developed, but I'm looking for something commercially available for a small charter operator with probably nothing more than a piston twin or three.

Also, are you using a "standard" set of numbers for landing/ramp fees and hope they're actually less than your standard figures? What about fuel cost? Or do you estimate and then bill at actual cost after the fact?

I dont fly for a charter but am good friends with the owner of one. They do their qutoes based off estimated fuel prices and estimated ramp fees and state in the quote that actual charges may vary. But generally they do these quote fairly close to depature date so they are usually very close usually 100ll for prices and calling for the fees before hand.

edit to add:
I don't know if there are any estimated ramp/landing fees in the quotes, but I know that we bill based on the actual costs incurred. Same with hangar or de-ice fees or similar.

Our company uses a computer program that was developed by the boss's son. We've used this program for about two years; it is adequate. Hopefully in the near future we'll be getting an update to the program or we'll go to another publicly available software. In the past our company has also used MicroQuote. Either way we do our best to call ahead and get actual pricing for landing/ramp fees as well as transient fuel costs. We have been using Everest fuel management and other contract fuelers a decent amount.

One piece of software I would strongly recommend to you would be airplane manager. This seems to be one of the better charter/aircraft management software currently available. It does everything, it's web based (so you can log in remotely with ease), and it's only $50 per airplane or $250 for unlimited aircraft. It will also handle pilot's flight/duty times, dispatches, etc. The website has a demo I believe. Give it a try.

We've used an older version of this. I heard there were some problems with it on Vista, but that was awhile ago. Tech support was great.

It has some default fees, but they can be changed. Somebody usually calls the destination FBO to check fees (takes 2 min) before finalizing a quote and faxing it.
 
I painfully look at the route, weather, call FBO's, Fltplan.com and a calculator. Its a lot of work especially when were doing several quotes a day.
